Personal data protection
 

As the International Forum to Advance First Responder Innovation (IFAFRI) collects and further processes personal data, it is subject to the EU General Data Protection Regulation (GDPR) concerning the protection of individuals with regard to the processing of personal data, and on the free movement of such data.

This privacy statement explains the reason for the processing, the way we collect, handle and ensure protection of all personal data provided, how that information is used, and what rights you may exercise in relation to your data (the right to access, rectify, block etc.).

Most of the actual storage and processing is carried out by the contractor (data processor) appointed by the European Commission to assist in the running and management of IFAFRI.

Although you can browse through most of the pages of our website without giving any information about yourself, in some cases, personal information is required in order to provide the e-services you request, such as registration for participation in fora, or signing up for its bi-monthly newsletter.
 

1 - Which personal data do we process?
 

1.1 - When you use our website or our social media channels, we process:

  • Technical information regarding your visit;
  • Any other personal data you provide us with.

1.2 - When you communicate with us via e-mail or social media channels, we process:

  • Identity information you provide us with, such as your first name and last name;
  • Contact details you provide us with, such as your e-mail address;
  • Content of the communication, such as a question or complaint;
  • Technical information of the communication, such as with whom you communicate at our end, and date and time of the communication;
  • Any other personal data you provide us with.

1.3 - When you register for our newsletter, we process:

  • Contact details you provide us with, such as your e-mail address;
  • Any other personal data you provide us with;

1.4 - When you use our services, we process:

  • Identity information you provide us with, such as your first name and last name;
  • Contact details you provide us with, such as your e-mail address;
  • Any other personal data you provide us with.

1.5 - We receive most of your personal data directly from you. If we receive personal data about you from a third party, we will inform you about this or ask the third party to inform you about this.

1.6 - Our website provides links to third party sites. Since we do not control them, we encourage you to review their privacy policies. Also, each social media channel has its own policy on the way they process your personal data when you access their websites. For example, if you look at our Twitter activity on Twitter, you will be asked for explicit consent to accept Twitter cookies; the same applies for LinkedIn.
 

2 - Why do we process your personal data and what is the legal basis for this?
 

2.1 - The purposes and legal bases justifying the processing operations carried out by IFAFRI vary. IFAFRI processing operations may be based on:

  • Your consent;
  • A legal obligation we must comply with;
  • The public interest.

2.2 - When you use our website, we set _gat, _ga and _gid cookies. These are Google Analytics cookies which allow us to measure and determine how you and other visitors use our websites. The default life span of the cookies is two years. We require your prior consent for the use of these cookies. You can give your consent by clicking the appropriate button in the cookie banner. You can withdraw your consent at any time by deleting the cookies stored in your browser. You can find more information on how to do this on the websites of the respective browser manufacturers:

3 - Who has access to your personal data and to whom is it disclosed?
 

3.1 - We may share your personal data with third parties, such as the European Commission or our consortium partners. For instance, we forward your email address that you provided when subscribing to our newsletter to our partner responsible for disseminating the newsletter.

3.2 - To some extent, other IFAFRI members will be able to see your basic profile information in the fora and other relevant information you chose to publish (e.g. your profile photo), but certain information is not visible to other members, in particular your e-mail address.

3.3 - Your data will not be communicated to any third party unless you provide specific written request / consent for this (e.g. in the context of your participation in a specific event or activity organised or co-organised by IFAFRI).
 

4 - What quality assurances can be expected?
 

The collected personal data is saved on servers of the EC-appointed external IT company working under contract for the European Commission (EC). The company shall act only on instructions from IFAFRI and/or the European Commission and shall comply with the obligations set out in the EU General Data Protection Regulation (GDPR) on the confidentiality and the security of data processing.
 

5 - What are your rights?
 

5.1 - You have the right to request access to all personal data processed by us pertaining to you.

5.2 - You have the right to rectification, i.e. to ask that any personal data pertaining to you that are inaccurate, be corrected.

5.3 - You have the right to withdraw your consent for processing of your personal data.

5.4 - You have the right to erasure, i.e. to request that personal data pertaining to you be deleted if these data are no longer required in the light of the purposes outlined in Article 2 above or if you withdraw your consent for processing them.

5.5 - You have the right to restriction instead of deletion, i.e. to request that we limit the processing of your personal data.

5.6 - You have the right to object to the processing of personal data if the processing by us is necessary for the performance of a task carried out in the public interest, unless if we demonstrate compelling legitimate grounds which override your interests, rights and freedoms or for the establishment, exercise or defense of legal claims.

5.7 - You have the right to data portability, i.e. to receive from us in a structured, commonly-used and machine-readable format all personal data you have provided to us if the processing is based on your consent or a contract with you and the processing is carried out by automated means.
